Description
As a Procurement Officer at As-Suffa, you will be responsible for overseeing all procurement activities to ensure the efficient sourcing of products and services. You manage supplier relationships, negotiate contracts, evaluate vendor performance, and process purchase orders while adhering to company policies and quality standards. This role requires maintaining accurate procurement documentation and ensuring cost-effectiveness through detailed market analysis and strategic negotiations. You will lead a team of five procurement professionals, promoting collaboration and ensuring timely delivery of goods and services to support organizational operations. In this position, you work closely with various departments to understand their procurement needs and coordinate the purchasing process from requisition to delivery. You monitor supplier compliance, handle disputes, and manage purchasing records diligently. Your analytical and communication skills allow you to evaluate costs effectively, develop procurement plans, and contribute to budget management. Maintaining confidentiality and integrity in all procurement matters is essential, as you strive to achieve operational excellence and cost savings for the organization.
Responsibilities
- Receive and review purchase requisitions from different departments to understand procurement needs.
- Identify and evaluate suppliers and vendors based on quality, price, specifications, and delivery timelines.
- Obtain and compare quotations from multiple suppliers to ensure competitive pricing.
- Prepare detailed comparative statements for management review and approval.
- Negotiate pricing, payment terms, delivery schedules, warranties, and other commercial terms with suppliers.
- Prepare, process, and follow up on purchase orders ensuring approvals and proper documentation.
- Coordinate with suppliers to ensure the timely delivery of goods and services in accordance with contractual agreements.
- Inspect delivered goods against specifications and purchase orders; manage discrepancies with relevant departments.
- Maintain and update supplier and vendor databases to support sourcing strategies.
- Monitor supplier performance regularly including quality, pricing, delivery timelines, and responsiveness.
- Handle supplier inquiries, complaints, and resolve discrepancies professionally and efficiently.
- Collaborate with the Finance Department to manage invoices, payment documentation, and ensure accuracy.
- Ensure procurement activities comply with organizational policies, procedures, and approval workflows.
- Maintain proper documentation and filing systems for procurement records, ensuring audit readiness.
- Conduct market research and monitor price trends to identify cost-saving opportunities.
- Assist in developing annual procurement plans and budgets aligned with organizational objectives.
- Manage urgent procurement requests while maintaining adherence to approval processes.
- Support internal and external audits by providing comprehensive procurement evidence and documentation.
- Ensure confidentiality and integrity of supplier information, pricing, and organizational requirements.
- Lead and supervise a team of five procurement staff, providing guidance, training, and performance monitoring.
- Promote effective teamwork within the procurement division to meet deadlines and operational goals.
- Perform other procurement-related duties as assigned by management to support business needs.
