As an Administration Officer at As-Suffa School of Excellence, you play a crucial role in ensuring the smooth and efficient running of daily school operations. You will oversee all administrative tasks, maintain accurate records, and coordinate effectively with staff, students, parents, and management. Your responsibilities extend to managing important documentation, supporting event organization, and maintaining a professional and welcoming office environment. In this role, you will lead and manage a team of 10 administrative personnel, fostering collaboration and efficiency within the department. Your work requires strong organisational skills, attention to detail, and a professional approach when handling sensitive information. Effective communication and coordination across multiple school stakeholders are essential, along with the ability to manage multiple tasks simultaneously. Ensuring confidentiality, solving problems proactively, and maintaining comprehensive records contribute significantly to supporting the school’s educational mission and administrative needs.
Responsibilities
• Manage the day-to-day administrative operations of the school to promote a structured and efficient work environment.
• Maintain and organise comprehensive records, files, documents, and databases related to students, staff, and school activities.
• Oversee student admissions, registrations, withdrawals, and ensure all documentation is accurate and updated.
• Keep meticulous attendance records for students and staff, ensuring data integrity and timely reporting.
• Coordinate communication between teachers, parents, students, and management on various administrative matters.
• Respond professionally to phone calls, emails, messages, and general inquiries from parents and visitors.
• Assist visitors and parents by providing accurate information and guidance regarding school procedures and policies.
• Prepare and distribute official letters, notices, reports, schedules, and other necessary school documents.
• Support management and teaching staff with their administrative requirements and logistical needs.
• Organize and maintain records of student and staff information, including leave, attendance, and performance data.
• Participate in planning and organizing school events, meetings, and activities with thorough administrative support.
• Monitor office and educational supplies, coordinate procurement processes to ensure availability of necessary materials.
• Maintain an orderly, professional, and welcoming school office environment that reflects the school’s values.
• Guarantee the confidentiality of all sensitive student, staff, and school information and handle it responsibly.
• Collaborate with different school departments to ensure cohesive and smooth operational functioning.
• Manage and provide leadership for a team of 10 administrative staff, ensuring productive teamwork and clear task delegation.
• Perform other administrative duties and special projects as assigned by the school management.
