The Assistant Manager Imports at Azaan Energy plays a crucial role in overseeing and managing the importing process to ensure smooth logistics operations. The successful candidate will bring at least five years of relevant professional experience, including prior working exposure to a shipping line, and will be responsible for leading a small team of two, guiding them to meet company goals and maintain high-quality client service standards. This position requires an individual with excellent organizational and problem-solving skills capable of handling multiple tasks under pressure while maintaining attention to detail. The Assistant Manager Imports will manage client relationships and collaborate extensively with internal and external stakeholders. Strong communication and interpersonal abilities are necessary to foster effective coordination and ensure compliance with import/export procedures and logistics requirements. The role also includes a supervisory aspect, requiring leadership over a small team and responsibility for their performance and work quality.
Responsibilities
- Lead and supervise a small team of two persons in managing import operations effectively and efficiently.
- Coordinate with shipping lines, freight forwarders, customs brokers, and other stakeholders to ensure seamless import procedures.
- Ensure compliance with import regulations, international trade laws, and company policies throughout the logistics process.
- Oversee and manage customs documentation and paperwork to facilitate smooth clearance of imported goods.
- Utilize SAP Supply Chain Management software and MS Office tools, particularly MS Excel, to monitor, report, and optimize supply chain processes.
- Develop and maintain strong client relationships by providing timely updates, resolving issues, and ensuring high customer satisfaction.
- Plan and organize logistic activities, including freight forwarding, route planning, and shipment tracking to meet deadlines.
- Identify, analyze, and resolve operational problems to improve the import process and reduce delays or additional costs.
- Maintain accurate records of shipments, compliance documents, and supplier transactions for audits and reporting purposes.
- Collaborate with internal departments such as procurement, finance, and warehouse management to streamline operations.
- Monitor and update knowledge of international trade regulations and industry best practices to adapt processes as needed.
- Support the training, mentoring, and performance evaluation of team members to encourage development and accountability.
- Handle communication and coordination between the company, shipping lines, customs, and clients for import-related activities.
- Work under pressure to ensure timely completion of shipments and resolve any issues impacting delivery schedules.
- Prepare periodic reports to senior management on the status of imports, compliance issues, and operational performance.
