Description
Clinix Central Ware House seeks an experienced Branch Administrator to oversee and coordinate all branch operational activities effectively. The ideal candidate possesses strong skills in office administration, customer service management, scheduling, financial record keeping, and staff supervision. With a required experience of 5 years in a similar role, the Branch Administrator is responsible for ensuring smooth daily operations, compliance with regulatory standards, and maintaining high service quality across the branch. Managing a dedicated team of 30 persons, this role demands leadership in organizing staff schedules, monitoring attendance, and fostering an efficient and disciplined work environment. This role involves coordinating with various internal departments including HR, finance, accounts, control room, and surveillance to promote seamless communication and operational compliance. The Branch Administrator tracks cash operations vigilantly, handling cash verification, reconciliation, and resolving discrepancies. Additionally, the candidate maintains documentation and branch maintenance activities, oversees utility payments, and ensures adherence to opening and closing procedures. Strong problem-solving abilities, customer relationship management, and the use of CRM software are essential to excel in this dynamic, hands-on position.
Responsibilities
- Monitor daily attendance and manage late arrivals, leave records, staff movements, and overtime to maintain accurate administrative data.
- Prepare shift rosters, allocate manpower effectively, and manage shift coverage while coordinating closely with shift in-charges to ensure operational continuity.
- Ensure discipline and uphold housekeeping standards by monitoring branch cleanliness, uniform compliance, grooming standards, and executing housekeeping checklists.
- Conduct daily cash verification and reconciliation, investigate excess or short cash situations, follow up with cashiers, and escalate unresolved discrepancies promptly.
- Review operational reports from morning, evening, and night shifts, follow up on operational discrepancies, and prepare daily branch operational summaries to support informed management decisions.
- Track utility bills and coordinate timely payments while managing overall branch maintenance activities to ensure a conducive work environment.
- Coordinate internal routines with HR, accounts, finance, control room, and surveillance departments to foster operational efficiency and compliance.
- Verify opening and closing checklists and ensure attendance and operational compliance, maintaining up-to-date branch documentation to meet regulatory and company standards.
- Manage customer relationships using Customer Relationship Management (CRM) software to deliver high-quality service and address customer inquiries or issues swiftly.
- Supervise and lead a team of 30 employees, providing direction, support, and motivation to achieve branch goals and uphold company policies.
