Role Overview
As a UK Bookkeeper, you will be responsible for the day-to-day financial record-keeping of our UK clients. You will take ownership of client onboarding, manage core bookkeeping processes, and ensure accounts are clean, compliant, and ready for year-end handover to accountants. This is a technical role requiring a strong understanding of UK VAT, CIS, and modern accounting tech stacks.
Key Responsibilities
- Software Management: Manage end-to-end bookkeeping using Xero, QuickBooks Online, and VT Software (VT Transaction+ / VT Cash Book).
- Client Onboarding & Cleanup: Take over new client accounts, request necessary data/documents (sales/purchase invoices), and perform historical data corrections or bookkeeping cleanups for messy accounts.
- Accounts Payable & Receivable: Manage and review aged debtor and creditor summaries, accurately tracking receivables and payables.
- Reconciliations: Perform step-by-step bank reconciliations, efficiently handling missing information or un-reconciled items.
- Payment Gateways: Reconcile third-party payment platforms, including Stripe, PayPal, and GoCardless.
- Document Management: Integrate and manage receipt and document capture tools such as Dext, Hubdoc, and AutoEntry.
- Payroll & CIS: Enter salary and payroll journals based on payroll summaries and accurately handle CIS (Construction Industry Scheme) deductions.
- VAT & Compliance: Ensure correct UK VAT treatment (input/output) across all transactions and maintain strict Making Tax Digital (MTD) compliance.
- Month-End & Year-End: Prepare typical year-end adjustments and calculate/post depreciation journals across various asset classes (e.g., Furniture, Computers, Plant & Machinery) before handing accounts over to the accountant.
Responsibilities
- Maintain and update accurate financial records, including accounts payable and payroll processing.
- Utilize accounting software such as QuickBooks Online and Xero to manage bookkeeping tasks and ensure accurate data entry.
- Prepare and process complex bank reconciliations, identifying and resolving unreconciled items and cleaning up historical data.
- Apply practical knowledge of UK VAT rules, MTD requirements, and CIS deductions to ensure compliance with financial regulations.
- Engage with digital accounting ecosystems including Dext, Hubdoc, AutoEntry, Stripe, and PayPal to streamline financial operations.
- Ensure timely and accurate financial reporting to meet strict deadlines and manage workload independently.
- Collaborate with UK-based clients to address accounting inquiries and resolve issues related to bookkeeping and VAT obligations.
- Maintain confidentiality and accuracy in handling all financial data and client information.
- Continuously improve accounting processes and suggest optimizations for efficiency and accuracy.
