Holistat is seeking a dedicated Virtual Medical Assistant (VMA) to provide essential remote administrative support within the healthcare and home health sectors. In this role, you will directly assist a Texas HCSSA-licensed, Medicare-certified agency by handling patient intake, scheduling, and administrative tasks. This position requires full-time or part-time availability, aligned with the U.S. Central Time Zone, and operates under an independent contractor agreement. As a Virtual Medical Assistant, you play a critical role in ensuring the smooth delivery of healthcare services by maintaining compliance with all regulatory standards and supporting efficient patient interactions. The ideal candidate brings at least two years of experience in healthcare administration or related fields and is proficient in managing medical terminology, electronic health records, and insurance verification processes. Maintaining strict adherence to HIPAA regulations is fundamental, ensuring patient data security and privacy at all times. This role demands excellent organizational skills and a high level of customer service to support patients effectively and foster trust. Although team management is not part of this position, the candidate must demonstrate the ability to work independently while maintaining precise and reliable communication with healthcare providers and patients.
Responsibilities
- Provide remote administrative support by managing patient intake, appointment scheduling, and communication with patients and healthcare providers.
- Accurately manage and update electronic health records (EHR) to ensure all patient information is current and compliant with regulatory requirements.
- Verify insurance coverage and benefits for patients to facilitate eligibility confirmation and billing processes.
- Maintain strict compliance with HIPAA Privacy and Security Rules to protect patient information and uphold confidentiality standards.
- Serve as the primary point of contact for patient inquiries, offering courteous and professional customer service to address concerns and provide clear information.
- Support the Medicare-certified agency in adhering to healthcare regulations and licensing standards specific to Texas HCSSA.
- Prepare and maintain administrative documentation related to patient care, insurance verification, and scheduling activities.
- Coordinate with healthcare providers to ensure timely follow-up on patient needs and appointment confirmations.
- Demonstrate reliability and organization in managing multiple administrative tasks simultaneously, ensuring accuracy and efficiency.
- Utilize technology platforms and software relevant to healthcare administration to streamline processes and communication.
CORE RESPONSIBILITIES:
- Patient intake processing and verifying Medicare/insurance eligibility.
- Administrative communication with clinicians, field staff, and physician offices.
- Data entry and workflow management within our EMR software (e.g., Axxess, WellSky, or similar).
- Managing patient schedules, phone triage, and medical records compliance.
QUALIFICATIONS:
- Proven experience as a Medical Assistant, Medical Biller, or Healthcare Virtual Assistant.
- High fluency in spoken and written English (U.S. healthcare terminology knowledge is required).
- Stable, quiet workspace with a reliable high-speed internet connection and power backup (UPS/Inverter).
- Experience handling Protected Health Information (PHI) under strict privacy/HIPAA guidelines.
