Description
The Data Entry Operator will be responsible for the data management of emergency project which includes timely collection of records, entering data in the MIS system/databases, verifying the data, reporting. Ensuring formal and informal project Data and Analysis reports are submitted to Project Coordinator, Project Officer and MEAL Officer in a timely and efficient manner.
Responsibilities
Technical
- Assist in designing project specific database & tools.
- Giving constructive feedback on project operations to Field teams and help with troubleshooting on missing/incorrect data
- Recommend training to increase skills and compliance of field staff.
- Ensure formal and informal project database & reports are submitted in a timely and efficient manner.
- The Data Entry Operator will be responsible for the data management which includes timely collection of records, entering data in the MIS system, verifying the data, and reporting.
- Coordinate all field activities with implementing staff
- Assist in designing project specific data collection tools.
- Conduct frequent field-visits to project locations for cross verification and validation
- Conduct interviews with project team members
- Giving constructive feedback on project operations to Field teams and help with troubleshooting.
- Recommend training to increase skills and compliance of field staff.
- Ensuring formal and informal project data reports are submitted to Project manager in a timely and efficient manner.
- Maintain confidentiality and observe data protection guidelines and filing as per IR Achieve Record Management Policies.
- To assist in the identification and production of management information and statistics for management at all levels, including the appropriate analysis and compilation of reports as required
Support programming and field staff to ensure that projects are carried out with participation from all affected communities (including women) and that information is shared with affected communities.
Maintain the Conflict and Feedback Mechanism database and conduct regular analysis to inform decision making and future project designs
Ensure that all programmes are designed and implemented in accordance with CHS
Programme Learning and documentation
Work with Programme staff to promote learning culture and ensure learning is shared across field offices by encouraging cross-cultural learning between and within sectorial teams, tracking trends and recommendations and progressing their implementation in the planning and project design where appropriate;
Support in Programme documentation and sharing of learnings at the field level.
Participate in the design and implementation of quality evaluations (needs assessments, situational analysis, baseline, and end line assessments, real time evaluations etc;) by providing technical support and/or identifying resources within IR Pakistan and externally;
Support and/or promote utilization of data generated through MEAL activities and events such as monitoring visits, baselines, assessments, reviews, real time evaluations etc; by conducting regular and/or periodic trends analysis and producing short and precise internal reports in line with IR requirements after data entry
Operational
Preparation of weekly / monthly work plans.
Maintenance of hard record that includes field visits reports, beneficiary data, assessment record, distribution record & other documentation.
Ensure punching accurate information in MIS/Excel Databases
Ensure appropriate beneficiary’s data collection & screening prior to making any transaction
Ensure proper filling of forms & formats as per desired standard
Extend support Data Analyst/ Project Officer/ MEAL / Communications staff for gathering desired information.
Ensure availability of up to date info in MIS on regular basis with consultation of Project Teams
Close coordination with line manager for effective implementation of project activities.
Organizational
Ensure compliance with IR’s policies & procedures in true spirit for effective delivery of services to communities.
In depth understanding of IR values and their demonstration in the field while working with communities.
Abide by the IR zero tolerance policy towards bribery & corruption through sensitization / empowerment of communities on coping mechanism so that they can raise voice as & when feel inappropriate.
Thorough knowledge of IR strategic priorities to ensure effective implementation with future sustainability.
Assist in identification & documentation of organizational successes for show casing IR work
Facilitate communities in adaptation of environmentally friendly & cost-effective approaches to meet their current as well as future needs with specific attention to climate change.
Focused efforts to be made for mainstreaming of marginalized groups i.e. Persons with disability and old age, minorities, Women & children etc in consultation & implementation of project activities at ground.
Strengthening mechanism to Influence the decision makers through communities to pay attention towards DRR planning, give voice to suffering and the excluded, highlighting the protection needs of people.
Participation and facilitation in implementation of IR seasonal programmes & emergency response.

Qualification:
Minimum Bachelor / master’s degree.
Experience:
Minimum 06 Months Experience with Bachelor (14 Years of education) or 01 year of experience with Masters/Bachelors (16 Years of education) of similar role in NGOs & INGOs setup.
Computer Skills:
MS Office, Outlook, SPSS, MIS Dashboard, Data Management
Language:
Pashto, Urdu, Balochi, English
Key Personal Qualities:
Strong emotional intelligence and resilience, and able to maintain self-control in difficult situations.
Able to work under extreme conditions in field areas.
Good communication skills in local as well as English / Urdu, Pashto, Balochi language which delivers information with clarity in a wide range of situations.
Has a positive nature and is able to overcome issues that create hindrance in achievement of entrusted goals / objectives.
has a learning attitude and a continuous improvement in philosophy.
- Value Added Skills
Data Entry procedures, Database Development MIS tools utilization and Intermediate experience in MS Excel
Understanding of Social Mobilization, Profiling and Documentation
Tools development skills for emergency response, analytic and report writing skill
