Description
McMaster Supply Group seeks a detail-oriented Freight Forwarding Executive with at least three years of experience to manage and oversee freight forwarding operations with precision and efficiency. This role involves ensuring compliance with international logistics standards, managing customs documentation, and overseeing the accurate tracking and handling of shipments from origin to destination. The ideal candidate demonstrates strong expertise in freight documentation, customs compliance, shipment tracking, and supply chain coordination. With a focus on accuracy and process adherence, the executive collaborates closely with procurement teams and logistics partners to facilitate smooth shipment processes and timely delivery of products. The successful candidate excels in collaborating with multiple internal departments and external stakeholders to ensure shipment readiness and customs clearance according to trade regulations and export compliance standards. While this role does not include team management responsibilities, it demands excellent organizational skills and the ability to make critical decisions related to inventory management, routing, and consolidation of shipments. Strong computer proficiency in inventory and CRM software, as well as a thorough understanding of HS Code classification and import/export compliance, is essential.
Responsibilities
- Conduct detailed inspection of received products, verifying damage status, quantities against purchase orders, packaging quality, and part numbers.
- Collaborate with the procurement department to verify product specifications and resolve any discrepancies through the creation of rejection notes within the ERP system.
- Manage receipt of inventory, including box creation and recording stock accurately in the ERP system according to purchase orders.
- Attach relevant photographic evidence of orders during the inventory receipt stage within the ERP.
- Handle intercompany transactions efficiently within the ERP system, ensuring accurate inventory movement records.
- Make informed decisions regarding customer deliveries based on material availability, including immediate dispatch, holding partial shipments, or consolidating multiple sales orders for a single customer.
- Prepare detailed instruction sheets for shipment consolidation, including product images, box numbers, purchase order and line numbers, and warehouse information for coordination with warehouse teams.
- Ensure products are fully prepared for outbound shipments, including packing, consolidation, and creation of packing lists.
- Compile precise import documentation such as packing lists and manage export documentation including invoices and packing lists.
- Prepare export declaration documentation for shipments where purchase value exceeds specified thresholds and coordinate with legal partners for compliance verification.
- Monitor outbound shipment progression, making timely decisions on routing and shipment timing to meet delivery requirements.
- Generate invoices and packing lists for shipments under Delivery Duty Paid (DDP) and Delivery Duty Unpaid (DDU) terms.
- Maintain thorough knowledge of customs clearance processes, export control regulations, and international trade regulations to ensure compliance at all stages.
- Utilize inventory management and CRM software effectively for accurate shipment tracking, documentation, and customer relationship management.
