Description
McMaster Supply Group is seeking a detail-oriented Fulfillment Executive with at least 3 years of hands-on experience in supply chain processes and inventory management. The ideal candidate has a strong background in product inspection, order processing, and logistics coordination, ensuring all warehouse operations adhere to quality standards and procurement specifications. This role involves close collaboration with procurement teams, managing intercompany inventory movements, and overseeing shipment preparation and documentation. The role requires meticulous attention to detail for data entry in ERP systems, supporting efficient order fulfillment, and timely delivery execution. The Fulfillment Executive plays a critical role in maintaining accuracy in stock control, returns management, and shipment tracking. The position demands strong organizational skills to handle multiple customer orders, coordinate packing lists, and prepare import and export documentation. Candidates should demonstrate competency with supply chain management software, ERP systems such as SAP and Oracle, and warehouse management solutions. This role does not involve managing a team but requires effective communication and coordination with warehouse personnel and logistics partners to ensure seamless order delivery and supply chain operations.
Responsibilities
- Conduct thorough product inspections for received inventory, verifying product quantity, packaging quality, and part numbers against purchase orders.
- Work closely with procurement to validate product specifications and resolve any discrepancies found during inspections.
- Create rejection notes within the ERP system when inconsistencies occur and communicate these issues to procurement for corrections.
- Accurately enter and receive inventory into the ERP system against purchase orders, including attaching relevant photographic evidence at the inventory receipt stage.
- Manage and process intercompany inventory transactions within the ERP system, ensuring accurate inventory tracking and movement.
- Make informed decisions regarding customer deliveries based on the status of received materials, including immediate dispatch, holding partial shipments, or consolidating multiple sales orders.
- Prepare detailed instruction sheets for order consolidation, including product images, box numbers, purchase order lines, and warehouse details, and share these with warehouse teams.
- Ensure products are properly prepared for outbound shipments by coordinating consolidation and preparing comprehensive packing lists.
- Prepare import and export documentation such as packing lists and invoices, adhering to customs requirements for shipments exceeding specific purchase values.
- Coordinate export declaration documentation and liaise with legal partners for compliance when required.
- Monitor the movement of outbound shipments, making strategic decisions on routing and timing to optimize delivery efficiency.
- Generate invoices and packing lists for Delivered Duty Paid (DDP) and Delivered Duty Unpaid (DDU) shipments in compliance with company standards.
- Maintain high standards of quality control throughout the order fulfillment cycle, ensuring that all shipments meet customer and regulatory requirements.
- Utilize and maintain accurate data within order management systems, shipment tracking software, inventory control systems, warehouse management systems, and ERP platforms including SAP and Oracle Inventory Cloud.
