Description
Qamar ul Islam Hospital is seeking a professional and organized Receptionist to provide exceptional front desk service. The ideal candidate holds at least an Intermediate education and a CIT or DIT diploma, complemented by 2 to 3 years of relevant experience. This role requires excellent communication skills, strong interpersonal abilities, and proficiency in Microsoft Office and basic computer operations. The Receptionist will serve as the first point of contact for patients and visitors, efficiently manage appointments, handle phone inquiries, and maintain accurate reception records. The candidate must demonstrate professionalism, punctuality, and strong organizational skills to support daily administrative tasks. This position involves active interaction with patients, visitors, and hospital staff to facilitate smooth operations at the reception area. The Receptionist will coordinate appointment scheduling, assist with visitor management, and ensure a welcoming environment at Qamar ul Islam Hospital. Candidates should be capable of working independently and managing multiple responsibilities with attention to detail and time management. This role does not involve managing a team but requires collaboration with other departments to promote efficient hospital services.
Responsibilities
- Greet and welcome patients, visitors, and staff professionally upon arrival at the hospital.
- Manage appointment scheduling efficiently, including booking, rescheduling, and cancellations.
- Handle incoming phone calls promptly, addressing inquiries and directing calls to the appropriate departments.
- Maintain accurate and up-to-date records of visitor logs, patient appointments, and administrative data.
- Perform data entry tasks related to reception activities and hospital records.
- Use Microsoft Excel and other MS Office tools for reporting and record-keeping purposes.
- Assist patients and visitors by providing information, directions, and support as needed.
- Coordinate with hospital departments to ensure smooth patient flow and timely communications.
- Maintain a clean, organized, and professional reception area at all times.
- Monitor and replenish office supplies to ensure uninterrupted reception operations.
- Adhere to hospital policies and procedures, including confidentiality and data protection standards.
- Perform general administrative duties such as filing, photocopying, and mail handling.
- Exhibit punctuality and a professional demeanor consistently to represent the hospital positively.
- Resolve or escalate issues and complaints effectively while maintaining a courteous approach.
