Recruit AI seeks a meticulous and dedicated HR & Payroll Officer to join its HR and Administration department. This role is crucial in supporting daily HR operations by managing employee records, attendance monitoring, payroll processing, leave administration, statutory compliance, and recruitment coordination. The ideal candidate demonstrates strong organizational skills, proficiency in MS Excel, and the ability to handle confidential information with high discretion. Experience in manufacturing, factory, pharmaceutical, or industrial environments is highly valued for success in this position. The HR & Payroll Officer plays a vital role in maintaining comprehensive and up-to-date personnel files, managing attendance and leave records, preparing accurate payrolls incorporating various allowances and deductions, and supporting compliance with labor regulations such as EOBI and PESSI. The role also entails coordinating recruitment activities and ensuring smooth onboarding processes. While this position does not involve managing a team, it requires the ability to collaborate effectively with multiple stakeholders including management, employees, and government entities to maintain seamless HR functions.
Responsibilities
- Maintain and update complete employee personnel files and HR records systematically.
- Manage the master employee register, documenting changes such as joining dates, confirmations, transfers, increments, resignations, and exits.
- Record and monitor daily attendance, including leaves, late arrivals, overtime hours, and shortages.
- Develop and maintain shift rosters and reconcile attendance data with departmental records for accuracy.
- Prepare the monthly payroll accurately, encompassing salaries, allowances, overtime, deductions, leaves, loans/advances, provident fund, EOBI, and other statutory adjustments.
- Reconcile payroll figures against attendance records and secure necessary departmental approvals.
- Administer employee leave balances, provident fund contributions, loan disbursements, and advance payments.
- Manage EOBI and PESSI registrations, contributions, and ensure compliance with related documentation requirements.
- Maintain and update HR and labor compliance records; facilitate the timely submission of statutory returns.
- Coordinate recruitment efforts by posting vacancies, screening and coordinating CVs, scheduling interviews, and maintaining recruitment documentation.
- Prepare offer letters and employment contracts according to approved company templates.
- Conduct initial joining formalities and facilitate employee induction programs.
- Keep comprehensive training and employee development records to support career growth initiatives.
- Serve as a liaison between employees, department heads, management, and government offices as needed to ensure operational efficiency.
- Handle all employee personal and payroll information with the utmost confidentiality and discretion.
- Provide support for additional HR and administrative tasks as assigned by management.
