Description
Sonoray is seeking an experienced Manager to lead and oversee a dynamic team of 6 professionals in a fully remote environment. The ideal candidate will bring at least five years of relevant experience, with a strong background in project or operations management, preferably within sectors such as e-learning, training, healthcare, or events. This role requires the ability to operate effectively during Eastern Time hours and to manage day-to-day operations while maintaining excellent communication with clients primarily located in the United States or Canada. The Manager will be responsible for coordinating multiple projects, ensuring that team objectives align with strategic goals, and that deadlines are consistently met through efficient use of digital tools and workflows. The Manager will direct and support a dedicated remote team, fostering a culture of high performance and accountability through performance management and effective leadership practices. This position demands proficiency in tools such as Notion, Jira, GoHighLevel CRM, Google Workspace, and project management platforms like Trello to streamline workflows, automate processes, and enhance collaboration across the organization. Precision, organizational skills, and a detail-focused approach are essential to excel in this role. The selected candidate will also demonstrate strong written and verbal communication skills and the ability to manage OKR-based goal setting and KPI tracking to drive continuous improvement and operational excellence.
Contract (independent contractor). Pay: $1,200-2000 CAD per month, based on experience and assessment results, starting with a 10-day paid trial. Schedule: Monday to Saturday, 8 AM to 6 PM Eastern Time (Toronto) with a 1-hour break. Reports to the CEO.
This role supports two separate companies. Keep their work, trackers, customer data, and communications separate at all times.
SonoRAY (sonorayultrasound.com) is a hands-on point-of-care ultrasound (POCUS) training program in Canada, offering courses and institutional partnerships.
Medaibility (medaibility.com) is an AI-powered medical education platform for premed students, medical students, and residents, offering CASPer and MMI preparation, CV support, a question bank (QBank), and career development tools.
We are looking for a sharp, organized Project Manager to keep companies on schedule, keep the teams unblocked, and give the CEO clear, evidence-based updates.
Responsibilities
- Own each company's project roadmap and master tracker (separate boards and files for SonoRAY and Medaibility).
- Run weekly planning (Monday to Saturday) and keep owners, due dates, and a clear definition of done on every active task.
- Prioritize work by deadline and student or course-participant impact. Split mixed requests into the correct company before assigning them.
- Coordinate Virtual Assistants and other contractors. Move a VA to the busier company when needed, assign the work in that company's tracker, and note the change in your update to the CEO.
- Manage SonoRAY course timelines (venues, instructors, pre-course checklists, reminders, and related CRM updates) and Medaibility launch and product timelines.
- Coordinate developers and CRM/automation contractors, including GoHighLevel work, without mixing the two companies' accounts or data.
- Improve and maintain SOPs so recurring work is documented and repeatable.
- Send clear progress updates with links and screenshots when work is done. Escalate missed or at-risk deadlines as soon as you know, with what is done, what is left, the impact, and options or a new date.
- Follow approval rules before messaging customers, students, or course participants.
- Keep brands, audiences, and data separate. Never send one company's contacts a promotion or message for the other company.
- Requirements
- Proven project management experience with remote teams.
- Fluent written English and clear, professional communication.
- Comfortable with Notion, Google Workspace (Docs, Sheets, Gmail, Calendar), and a CRM such as GoHighLevel, or able to learn GoHighLevel quickly.
- Uses AI tools such as ChatGPT and Gemini, and checks facts before using the output.
- Organized, reliable, and able to give evidence-based status updates (links, owners, dates, risks).
- Able to work the full Monday to Saturday, 8 AM to 6 PM Eastern schedule.
- Nice to have
- Experience in medical education, healthcare training, edtech, or a similar student-facing setting.
- Familiarity with point-of-care ultrasound training and/or medical school admissions (CASPer, MMI, residency applications).
- Experience coordinating courses, product launches, or contractor developers
