Description
The Admin Officer ensures smooth administrative operations in region and sub offices. This role is responsible for procurement, transport, inventory management, event logistics, and ensuring operational continuity.
Responsibilities
- Manage the day-to-day administrative and logistics operations, ensuring smooth and efficient office functioning.
- Ensure that all procurements are carried out in accordance with the organization's procurement policies and procedures.
- Facilitate advances, reimbursements, payables, and receivables in a timely manner, ensuring all expenditures are verified, supported by appropriate documentation, charged to the relevant grant or administrative budget, and comply with donor and organizational requirements.
- Administer and reconcile petty cash.
- Support internal and external audits by maintaining and providing the required documentation.
- Maintain and regularly update personnel files, timesheet summaries, and the monthly leave records of staff.
- Facilitate staff performance evaluation processes as and when required.
- Manage the inventory of office equipment, furniture, and other assets, ensuring accurate inventory records are maintained.
- Conduct regular physical verification of assets and prepare and update inventory status reports accordingly.
- Ensure proper maintenance of administrative records, contracts, and other office documentation.
- Ensure vehicle management, logbook monitoring, fuel consumption tracking, and coordination with vendors for vehicle maintenance and repairs.
- Coordinate travel and logistics arrangements, including vehicle rentals, flight bookings, accommodation, conferences, trainings, and other official travel requirements.
Job Requirements:
- Bachelor's degree in Business Administration, Public Administration, Commerce, Management Sciences or a related field.
- Minimum 02 years of relevant experience in administration.
- Knowledge of administrative, procurement, and logistics procedures.
- Familiarity with basic financial processes, including petty cash, payments, and documentation.
- Experience in inventory and asset management.
- Proficiency in Microsoft Office, particularly Word and Excel.
- Strong organizational, communication, and record-keeping skills.
- Ability to work under deadlines and manage multiple tasks.
